A small organization ran their ATS through a managed package inside Salesforce. When the company controlling that package was acquired, the new owner stopped supporting customization. The organization suddenly needed someone to build out the custom functionality they depended on. They were quoted $90,000 and six months to complete the work.

We sat down with the team and trained them to vibe code and develop their own customizations using AI tools. Rather than outsourcing the work at a massive cost, the team learned to build it themselves with the right guidance, tooling, and support throughout the process.

The organization completed the customization projects in 45 days. Work that was quoted at $90,000 and six months was done in a fraction of the time and cost, and the team walked away with the skills to continue building on their own.

Finding the Leak: How a Profitable Business Was Losing Money on Every Commercial Job

A residential service business owner with 25 years in the industry was depositing large amounts of cash each week and believed his company was thriving. He had recently expanded into the public sector and was awarded several large commercial projects. He hired us to complete his internal books and hand them off to an accountant for taxes. What we found changed everything.

We set up projects in QuickBooks Desktop and tagged all income and job-related expenses to each specific project. Running job profitability reports, we discovered the commercial projects were losing money while the residential projects remained profitable. We then reviewed the bidding process and found the software was applying a 20% overhead markup. After calculating the actual break-even multiplier from Profit and Loss statements, we found the business needed 24%. Every commercial job was losing 4%. We adjusted the markup in the bidding software, tested market competitiveness, and confirmed the new numbers held.

The owner discovered that cash in the bank does not equal profitability. With corrected markup applied across all commercial bids, the business stopped losing money on every new contract it won. Knowing your break-even number is not optional. It is the foundation of every pricing decision a business makes.

Recovering Over $100,000 in a Single Year Through a Billing Dispute Process

A traveling medical staffing agency was subject to reverse billing, a common practice in the industry that creates revenue discrepancies when the amount paid to a traveler differs from the reverse billing invoice received for the same time period. Individually, each discrepancy seemed small, often under $100. But when scaled across dozens of travelers week over week, the losses added up fast and nobody was tracking them.

We built a procedure to identify, track, and resolve billing discrepancies using a clear threshold rule. Disputes under $50 were written off. Disputes over $50 were entered into a dedicated earned income account with a distinct invoice numbering system. When a dispute was resolved, it moved from earned income to revenue. This gave the team the ability to run reports tracking dispute volume, timeliness, and resolution rates at any point.

Over the course of one year, the new process recouped more than $100,000 in disputed revenue that had previously been lost. A small number on a single invoice becomes a significant number at scale. The process paid for itself many times over.

Reducing a 5-Hour Weekly Process to 15 Minutes and Saving Over $10,000 a Year

A traveling nursing agency was using QuickBooks Online for accounting but needed a more robust third-party payroll system to handle their high volume of travelers and contracts. The problem was that QuickBooks Online did not allow payroll imports at the project level. As a result, the accounting team was spending five to six hours every week manually entering payroll line items into journal entries just to track expenses by facility. It was costly, error-prone, and completely unsustainable.

We redesigned how the data was structured inside QuickBooks Online. By renaming customers as facility names, using the class field to represent traveler names, and using the location field to identify the operating state, we created a framework that could accept imported payroll data. We then used a third-party import tool to bring the payroll data directly from the external payroll system into QBO at the project level, eliminating the manual entry process entirely.

The five to six hour weekly process was reduced to 15 to 20 minutes. The company saved $10,465 per year in payroll processing time without losing any financial tracking capability at the project level. The right process does not just save time. It removes the risk that comes with hours of manual data entry every single week.
